Privacy
Privacy policy.
Last updated 21 October 2026.
Art Of 8 Martial Arts Academy is the operating name of Konsolt.Beyond Technology Corporation, a corporation registered in Ontario. In this policy “we”, “us” and “the academy” mean that company, and “you” means anyone whose personal information we hold — a member, a parent or guardian, a trial participant, or a visitor to this website.
We are at Unit G8A, 150 First Street, Orangeville ON L9W 3T7. You can reach us at info@artof8.com or 519-941-7275.
This policy is written under the federal Personal Information Protection and Electronic Documents Act (PIPEDA), which is the privacy law that applies to us. Ontario has no general private-sector privacy law of its own.
What we collect
From members, and from anyone booking a free trial or introductory session:
- Name, email address, phone number and mailing address.
- Date of birth.
- An emergency contact, and the names of the adults authorised to collect a young member.
- Medical conditions, injuries and allergies that affect safe training — only what you choose to tell us, and only what bears on training.
- Your signed membership agreement and waiver.
- Attendance, grading and competition records.
- Billing records: what you were charged, when, and whether it was paid.
If you allow advertising measurement: the pages you view, the site that referred you, approximate location derived from your IP address, cookie or account identifiers made available to our advertising and analytics partners, and general device and browser information. This is described under Analytics and advertising below.
Why we collect it
Each of the items above is collected for a stated reason, and for no other:
- Name and contact details — to run your membership, reach you about classes and schedule changes, and reach a guardian in an emergency.
- Date of birth — to place a member in an age-appropriate class, to know whether a parent or guardian must sign, and for grading and competition eligibility. Age is not a formality in a contact sport; a fourteen-year-old does not belong in an adult sparring class.
- Emergency contact and authorised pickup — to reach someone if a member is injured, and to know who may collect a child.
- Medical and allergy information — so a coach can train you safely and act correctly if something happens on the floor.
- Agreement and waiver — because they are the contract between us.
- Attendance, grading and competition records — to track progress, award rank, and enter members into sanctioned events.
- Billing records — to take payment, to answer billing questions, and to meet our tax and accounting obligations.
What we do not collect
We do not ask for, take copies of, scan, photograph or store identity documents. That means no passports, no national identity cards, no driver's licences, no bank card statements and no utility bills.
Earlier versions of this policy said we might ask for some of those to verify identity for bank transfers. We do not, and that wording has been removed. Payment verification is done by our payment processor, not by us.
If a genuine question of identity ever arises — an unfamiliar adult arriving to collect a child, for example — a coach may ask to see photo identification, will compare it to the authorised pickup list, and will hand it straight back. Nothing is copied and nothing is recorded beyond a note that the check was made, by whom, and on what date.
We do not collect Social Insurance Numbers. We do not collect payment card numbers — see Payments below.
Payments
Payments are processed by our payment processor. Card numbers, expiry dates and security codes are entered directly into its systems and handled there. We never see or store them.
The payment processor's own privacy policy governs what it does with that information.
What we keep is the record of the transaction: the amount, the date, what it was for, and whether it succeeded.
Membership records
Member records, class bookings, attendance and billing history are held by our membership and messaging provider, the system we use to run the academy. It stores this information on servers in the United States, which means it is subject to the laws of that country and may be accessible to authorities there under those laws.
It processes this information on our instructions and does not use it for its own purposes.
Email and messages
We send email through our membership and messaging provider. Signing up for anything — a membership, a free trial, an introductory session, a camp or a workshop — opts you in to receive messages from us.
Every member controls their own marketing preferences in their member account, and every message we send carries an unsubscribe link. Unsubscribing stops the marketing messages. It does not stop the operational ones — a class cancellation, a billing notice, a change to your membership — because those are part of the service you signed up for.
Analytics and advertising
This website uses two measurement tags from our advertising and analytics partners:
- One measures visits from our search and display advertising and supports remarketing.
- The other does the same for our advertising on social media.
On your first visit, we ask whether you want to allow advertising measurement. Until you choose Allow, and if you choose No thanks, the social media tag is never requested and that partner receives nothing at all. The search and display tag does load, but with advertising and analytics storage switched off: it sets no cookies, reads no cookies, and passes no identifier that could single you out. What it sends is a record that an anonymous visit happened, so that the partner can estimate how many visits its ads produced without knowing who made them. Ad click identifiers are stripped from those messages. If you choose Allow, the storage is switched on and the social media tag loads. The core site and its booking links work whichever you choose, and Cookie choices in the footer changes your selection at any time.
If you allow measurement, these tags may set or read cookies and may associate website activity with an account you hold with that partner, under the partner's own policies. We do not send membership, form, medical, attendance, waiver or payment information through these browser tags. We do not sell personal information. You can also turn off ad personalisation in the ad settings of the search and social media accounts you use.
Members under the age of majority
We teach children from the age of four. For any member under eighteen, a parent or legal guardian holds the account, gives consent, signs the waiver, and is the person we deal with on everything to do with that membership — including any request to see or correct the record.
We collect no more about a young member than about an adult one, and the list under What we collect is the whole of it.
How long we keep it
We keep member records for seven years after a membership ends. That period is set by our tax and accounting obligations and by the time limits that apply to claims arising out of training injuries.
After seven years the record is deleted. If you ask us to delete your information sooner, we will delete what we are not required to keep, and tell you what we have kept and why.
Who we share it with
We share personal information only with the service providers that make the academy run, and only with what each needs:
- Our payment processor — payments.
- Our membership and messaging provider — membership records, bookings, billing history and email.
- Advertising and analytics partners — website measurement and advertising, as described above.
- Provincial and national sanctioning bodies — only where a member enters a sanctioned competition, and only the details that entry requires.
Some of these providers store or process personal information outside Canada, including in the United States. While it is there, it is subject to the laws of that country.
We do not sell, rent or trade personal information.
If the academy is ever sold or merged, member records would transfer with it, and we would tell members before that happened.
We will disclose personal information where the law requires it — a court order, a subpoena, a lawful demand from a public authority — or where we believe in good faith that disclosure is necessary to protect someone's safety.
How we protect it
Access to member records is limited to the coaches and staff who need it to do their jobs. Our systems are protected by individual accounts and passwords, and the services we use encrypt data in transit.
No system is perfectly secure, and we will not pretend otherwise. If a breach ever creates a real risk of significant harm to you, we will notify you and the Privacy Commissioner of Canada, as PIPEDA requires.
Your rights
You can ask us:
- To see the personal information we hold about you.
- To correct anything that is wrong.
- To explain how we have used it and who we have shared it with.
- To withdraw your consent to marketing messages, or to any collection that is not required to run your membership. For advertising measurement, use Cookie choices in the footer; the change takes effect immediately for future activity on this site.
Write to info@artof8.com and we will respond within thirty days. There is no charge for a reasonable request.
If you are not satisfied with how we have handled your information or your request, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca, or by phone at 1-800-282-1376.
Changes to this policy
If we change this policy we will change the date at the top and publish the new version here. Where a change materially affects how we use information we already hold, we will tell members directly.
